Vulnerability Summit 2022 Exhibitor Manual

KEY LOGISTICAL INFORMATION

 

Exhibitor set-up:

07.30 - 08.30 on Monday 21 November

 

Exhibitor breakdown:

14.50 – 15.55 on Monday 21 November

Please note the room has to be cleared by 16.00.

 

All stand equipment must be packed, labelled and left in the exhibition room. All items will be moved by hotel staff to the loading bay for you to collect. 

 

Your space only stand/package:

  • You will have a table top stand space of 3mx2m (unless a larger space has been agreed) with a clothed table and 2 chairs
  • If you exceed the agreed space, you will incur additional charges, so if you require more space, contact sales@creditstrategy.co.uk
  • If you do not wish to have a clothed table and/or chairs on your stand, email events@creditstrategy.co.uk
  • If you require access to a socket, email events@creditstrategy.co.uk but note you will need to bring an extension lead to plug into the outlet
  • The passes included in your package will entitle you to welcome coffee, morning coffee break, lunch and afternoon coffee break all served in the exhibition hall. Additional passes will have an additional fee, so if you require any, contact sales@creditstrategy.co.uk
  • We are working towards more sustainable events and therefore we are asking sponsors to take this into consideration when sending items & boxes to our events. With this in mind please send Bronwyn an email at BGahagan@shardfinancialmedia.com with the list of items and number of boxes. You can find further information about our sustainability policy here.

 

Ordering IT and AV equipment for your stand

Should you require any audio visual or IT equipment for your stand, Encore The Brewery’s in-house supplied will be able to provide this. Please contact Bronwyn at BGahagan@shardfinancialmedia.com for the booking form.

 

 

Badge Collection

Please proceed to the registration area, located at the hotel reception immediately visible when entering, to collect your badge.


If you’ve sent us your badge details before the 17 November, you will be able to collect them. If this deadline is not met, the badges will need to be finalized on the morning of the event, which does cause a delay at the Registration Desk.

Delivery information

If you would like to deliver your exhibition stand and/or collateral to the venue ahead of the set-up time, please ensure they arrive no earlier than 48 hours prior to the event day (the venue will not accept your items if they arrive earlier). Items can be received on Friday 18th. The loading bay is open from 6am until 5pm, after 5pm it is unmanned. However, in this time the duty manager will be available to assist and there is a number on the door to call.


All goods need to have an official event label fully completed and attached to each parcel that is to be delivered to the venue.


Please be advised that the venue cannot take responsibility for goods loaded in or out of their loading bay. Please ensure you have the details of the person dealing with your delivery in case of any issue.

 

Collection information

Items must be collected within 24 hours of the end of the event. Any items not collected within 24 hours will be disposed of.


This needs to be organised by yourself and the details of the courier you will be using will need to be sent via e-mail to Bronwyn at BGahagan@shardfinancialmedia.com.

 

Additional Event Information

Please note that catering will take place in the same space as the exhibitor space. 

During the conference, we ask that all exhibitors attend the sessions or ensure they are quiet at all times whilst the conference is in session.

Security

There is 24hr /365 day security present at The Brewery, however, they will not be responsible for exhibitor’s equipment and or materials if lost or damaged.

 

If you have any issues regarding deliveries or items for use on your stand, please contact the Event Manager – you can find details at the bottom of the page.

 

Rubbish
Exhibitors are responsible for the clearance of their own rubbish and other waste materials from the building both during and at the close of the event.

 

 

THE BREWERY EMERGENCY PROCEDURES


FIRE EVACUATION

The Brewery is a two-stage alarm activation system with a four-minute time response period.


If the alarm should sound at any other time or the test goes on longer than 1 minute EVACUATE the building.

  • When the alarm sounds:
    • You will hear an announcement saying "Attention please, attention please, please leave the building immediately. Please leave the building by the nearest exit."
    • Gather the delegates in the vicinity together and exit the building, via the nearest clear fire escape. Assistance from the Hotel will be given.
    • If there are any guests with disabilities, please notify staff immediately so they can be escorted to a Safe Area.
    • Do not use the lifts
    • Do not stop to collect personal belongings
    • Do not rush and attempt to pass others
  • Assembly Point:
    • The assembly point is located at the Courtyard
    • Stand with your group in one location and a roll call will take place
  • If you discover a fire:
    • Raise the alarm by operation the nearest fire alarm call point
    • Do not attempt to extinguish the fire
    • Close door and windows around you and evacuate the building


HEALTH AND SAFETY

As an exhibitor, you hold a legal and moral obligation to ensure as far as reasonably practicable the health, safety and welfare of everyone associated with your event or exhibition stand and those persons who may be affected by your activities under the Health and Safety at Work act 1974.

 

All full, part-time, contractors and temporary staff must:

  • Be aware of the significant hazards they may face when carrying out tasks and of any control measures that the exhibitor implements to reduce risks to the lowest level reasonably practicable;
  • Observe safety regulations and signs at all times;
  • Be aware of the emergency procedures relevant to their place of work;
  • Wear the appropriate safety equipment and use appropriate safety devices as and when required to do so;
  • Report all accidents and dangerous occurrences to their supervisor and the health and safety officers for the venue or their appointed representative;
  • Take reasonable care of the health and safety of themselves and of others who may be affected by their acts or omissions;
  • Co-operate with any duty or requirement imposed by the venue when acting under the requirements of health, safety or environmental legislation;
  • Not intentionally or recklessly interfere with or misuse anything provided in the interests of health, safety or welfare; and
  • Immediately report any serious shortcomings that may affect the health, safety and welfare of their job to their supervisor and the health and safety officers for the venue or their appointed representative.


INSURANCE
Exhibitors are liable for the safety and security of their own property. Exhibitors must arrange their own insurance against these contingencies and public liability. While every reasonable precaution is taken, the organisers expressly decline responsibility for any loss or damage which may befall the person or property of the exhibitor from any cause whatsoever. We therefore recommend you take out an insurance policy for the event.


Artwork

Spread the word that you’re exhibiting by using the branded artwork on social media, on your website and email signature.

 

Make sure you link your exhibitor logo to the website, this way they can view your profile too!
